Who we are

The Bar Billiards App ("the app", "we", "us") is operated by the app owner, based in the United Kingdom, who is the data controller for the personal data described here. You can contact us at any time at Contact@BarBilliardsApp.com.

This policy explains what personal data we collect, why, how long we keep it and what rights you have under the UK GDPR and the Data Protection Act 2018.

Who can use the app

The app is intended for adults aged 18 or over. It is not directed at children and we do not knowingly collect data from anyone under 18. If you believe a child has used the app, email us and we will delete the account and its data.

What data we collect

  • Account data — when you sign in with Google we receive your email address, display name, profile picture URL and a Google account identifier. We do not receive or store your Google password.
  • Access requests — if you request prototype access, we store the name, email address and short comment you provide so the app owner can review your request. This does not automatically grant access. Contact us to ask for your request to be removed.
  • Content you create — matches, scores, score sheets, notes, fixtures, team and player names you type in, and any table locations or venue details you submit.
  • Photos you upload — if you scan a paper score sheet, the image is sent for text recognition and the resulting text is returned to you. Images are processed to provide that feature and are not used for advertising.
  • Device-only data — app settings, preferences, your saved player list, in-progress score sheets and whether you have seen the welcome slides are stored in your device's local storage, not on our servers.
  • Technical data — standard server logs (IP address, timestamp, browser type) kept by our hosting provider for security and troubleshooting.

We do not use advertising trackers, we do not sell personal data, and we do not carry out profiling or automated decision-making that has legal effects.

Why we use it, and our lawful basis

  • To provide the app (sign-in, saving matches, sharing sheets with team-mates) — lawful basis: performance of a contract with you (our terms of use).
  • To keep the app secure and working (logging, abuse prevention, fixing faults) — lawful basis: our legitimate interests in running a safe, reliable service.
  • To publish approved table locations — lawful basis: legitimate interests, with a manual review before anything appears publicly.
  • To reply to your emails — lawful basis: legitimate interests in handling your enquiry.
  • Optional features you switch on (for example scanning a score sheet, or future marketing emails) — lawful basis: your consent, which you can withdraw at any time.

Who we share it with

We share data only with service providers who process it on our instructions under a written contract:

  • Our hosting, database and authentication provider (app data and sign-in).
  • Google, when you choose to sign in with your Google account.
  • An AI text-recognition provider, used only when you scan a handwritten score sheet.
  • Map and directions services, when you open a table location.

We may also disclose data where the law requires it. Other app users only see what you deliberately share, such as your name on a shared score sheet or a submitted table location.

International transfers

Some providers may process data outside the UK. Where that happens, transfers are covered by UK adequacy regulations or by the International Data Transfer Agreement / Addendum to the EU Standard Contractual Clauses, so your data keeps an equivalent level of protection.

How long we keep it

Account and content data is kept while your account is active, and deleted within 30 days of you deleting your account or asking us to remove it. Server logs are kept for a short period (typically up to 90 days). Device-only data stays on your device until you clear it or uninstall the app.

Security

Data is transmitted over encrypted connections and stored with access controls so that you can only reach your own records. No system is perfectly secure, but we take reasonable technical and organisational measures to protect your information, and we will report a qualifying breach to the ICO within 72 hours.

Cookies and local storage

We use only strictly necessary storage: a sign-in session token and app preferences saved on your device. We do not use analytics or advertising cookies.

Your rights

Under UK data protection law you have the right to:

  • be informed about how your data is used (this policy);
  • access a copy of your data;
  • have inaccurate data corrected;
  • have your data erased;
  • restrict or object to processing, including processing based on legitimate interests;
  • data portability;
  • withdraw consent at any time, where we rely on consent.

You can delete your account in Settings (see how to delete your account), or email Contact@BarBilliardsApp.com. We will respond within one month.

Complaints

If you are unhappy with how we handle your data, please contact us first. You can also complain to the Information Commissioner's Office (ICO), Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF, ico.org.uk, helpline 0303 123 1113.

Changes to this policy

We will update this page when the app changes and update the "last updated" date. If a change is significant we will tell you in the app before it takes effect.
